User Management

Quick Overview #

This screen allows users with administrator privileges to add or edit all staff members using the Keyfleet system. Your company may register an unlimited number of users at no additional cost.

Users with administrative rights may:

  • Add, edit or delete users
  • Set up login credentials
  • Set authoristation amounts and
  • Restrict other users’ access to specific modules

How to access the User Module #

  • Click on “Start” in the bottom left corner.
  • Go to All > User Module> User Detail

Types of users #

User types are called “User Positions” within the Keyfleet system. Each user position provides users with different levels of user access and permissions.

Administrator #

This user level is typically assigned to the “system owner”. Administrators possesses full control over the Keyfleet system including modifying the asset register, company or depot structures and managing user accounts.

Operational User #

This user position is reserved for data entry purposes. Operational users can capture data but cannot modify user details, the asset register or structures.

Guest #

This level only allows users to view Reports. This user cannot capture data or make changes to the Keyfleet system.

Load a new user #

  1. Navigate to the User Detail screen and complete all the required form fields.
  2. Under the Admin Function tab, ensure that Active User is ticked. You can also tick other relevant functions.
  3. Fill in an Authorisation Amount if the user will be capturing invoices in the Repair & Maintenance Module.
  4. Click Update in the bottom right corner.

Field definitions #

PositionSee user types.
Company PinUser’s unique employee number will also serve as the keyfleet username. This pin cannot be changed.
PasswordTemporary password only. A pop-up screen will initiate a password change when logging in for the first time.
Link to StructureLinks user to a particular company structure (a specific department or location, for example).
Link to DepotLinks user to a specific fleet management depot.
Authorisation AmountMaximum daily transaction amount the user is allowed to process within the Repair and Maintenance module.
Fuel OfficerUser

Give user access to certain modules #

  1. Go to All > User Module> User Detail
  2. Select a User from the left hand search bar and click load.
  3. Click on the Menu Access button at the bottom of the screen.
  4. Click on the modules the user will not have access to (access denied).
  5. Click on the Deny Access button.
